Formal Criteria

When an applicant applies, there are some things to consider.

The formal criteria has to apply to the applicant. We can only work with EPs who either don't need the ZAV (EU citizens) or won't have a problem getting the ZAV. See below for the criteria you have to check:

If these criteria are fulfilled, the intern is eligible to apply for your Opportunity as he has fulfilled the formal criteria. That doesn't mean he his a good candidate though. The professional qualities and his personality are important to be accepted by the company.

FAQ

Does the student have to be enrolled for the entire duration of the internship?

No, it is enough if he is enrolled at his first day of work. He can subsequently hand in any further entrollment certificates once he is in Germany at the Ausländerbehörde. The same refers to the subsequent handing in of a diploma in case the intern graduates during his intership.

Does the student have to have a mandatory internship certificate for the entire duration of the internship to be a mandatory intern?

No, the student can be mandatory for a certain amount of months and after his mandatory term expires he can become a "normal" intern getting the minumum wage. However, mind that there has to be an article in the working contract stating the income situation (e.g. "the intern gets 735 Euro (starts 01.08.16) for the first 4 months and after his mandatory time expires he will get 1474 Euro a month" or so)

Is it possible to let the intern work for 3 months below the minumum wage and afterwards pay him the minum wage?

Yes, it is possible. However, once the intern will start his first day after 3 months, he should be paid the full difference for the amount between the original salary and the minumum wage for the first 3 months subsequently. This is to prevent abuse of the 3 months exception of the minumum wage.

EPs and LCVP oGT asking questions

You will get a lot of questions about your opportunities even though everything might be answered by reading the opportunity yourself. In these cases, you can kindly remind them to read the application. Everytime an applicant sends his application, he will get a confirmation and the necessary information again. If LCVP oGT ask for a status update about their EP, you should tell them if they are in the shortlist if you can manage this workload wise. For your Partner LCs you should also provide feedback to their EPs to improve the future cooperation. Due to the high amount of applications we normally get, you can also tell the LCVPs that in case their EPs didnt hear anything from us after 7 days of their application, it normally means that they are not considered for the further process.

 

Frequency of shortlisting 

In order to ensure a fast process and deliver a great service to the EPs and the companies, you should check the applications at the latest every other day and as soon as you have three good candidates, send them to the company. They will be amazed if they get the shortlist faster than expected.

 

Selection for Professional Qualifications

To select the right applicants, often the first impression can be very helpful. It is particularly interesting if the cover letter is written specifically and if there are no spelling mistakes in the appliation. Of course, it is also important to consider the qualification needed for the internship.

It is recommended to sort the applicants into A/B/C Categories in a shared folder to get a better overview over your applicants. A category is the folder for the top 3 Candidates you should send to the company. B is the average candidates with some restrictions and C are the ones who you definitely don't want either because their profile doesn't fit or because they didn't read the instructions properly.

 

Efficient Shortlisting

In Expa, you can download all applications as a .csv file that you can open in excel. This gives you the opportunity to screen the candidates for the basic requirements very fast. For this, go to your opportunity and search for the "Export CSV" button as shown in the screenshot:
